Check-In is held at the Main Lodge and will be open between 5 PM and 9 PM. It is required for all players to go immediately to Check-In as soon as they get to site (even before unpacking). Please park outside the Main Lodge to check in. Wearing a KN95 or N95 mask is required at Check-In. To check in, players must bring:
A photo ID
Any weapons/props to be checked (All weapons must be checked before use in game, even if they passed the safety check during previous events. Any weapons that do not pass inspection cannot be used in game.)
Their Covid-19 vaccination card (if it has not been previously submitted to Logistics through email)
Once all checked in, players can move their car to a parking spot, unpack, and get ready for game.
If you will be late to Check-In, email Logistics at logistics@cotvlarp.com to make arrangements. Emails about late Check-In will not be accepted after 12:00 PM on the day of the event. Exceptions may be made at the discretion of Logistics Team.
At Check-In, please bring your photo ID, a printed proof of payment, any props that require tags, and any/all weapons you will be using during game. All weapons must be checked before use. Any weapons that do not pass inspection cannot be used in game. Please also bring anything required by our Covid-19 policies.
If you will be using the kitchen in the Main Lodge, you must either bring a copy of your valid food handler's permit for Logistics to collect and keep on file or have emailed it to Logistics up to 48 hours before game.

Check-In has several parts to it.
First is the Covid-19 screening, where you will have your temperature taken by forehead thermometer and will have your negative Covid-19 test submission and Covid-19 vaccination card verified. If you would like to send Logistics your Covid-19 vaccination card so that you don't need to bring it to game, please feel free to send it to the Logistics email.
Next will be the Photo ID and Legal Release check. All players are required to bring a Photo ID and sign a Legal Release. The Legal Release must be filled out with your legal name and will require an emergency contact. To view the Legal Release before game, you can find it here. All of the names tied to these must match either your photo ID name or the name on your registration form. If this is not the case, please notify Logistics Team ahead of time.
After that is the Character Sheet collection and review of paid tickets/reserved beds. Logistics will have every Character Sheet printed out for every character approved to play. This is why it is so important that all Character Sheet creation and updating happens 48 hours before game. To do this, please reach out to Logistics Team. No Character Sheet changes will be accepted at game.
Then there is the General Store and Chit distribution. At this point, players will receive any Chits that they are owed and will have the option of spending them either on goods available through the General Store or on crafting. For more on this, please review the Rulebook.
Finally, there is the Weapons/Prop Check. All weapons and tagged props must be inspected for suitability at game. Weapons must be checked every game they are brought to - there are no exceptions. Just because a weapon passed once does not mean that it is suitable for game.
Once that is done, you are ready to go unload your things and get ready for game Opening announcements begin at 10 PM, then when they are concluded, it's time to play!
Tickets may be purchased through the Event Registration page. Tickets may only be purchased through online means - payment at the event will not be accepted. Payment for tickets will be closed 48 hours before the first event day.
Likewise, payments for XP or Chits will also only be accepted online and will be closed 48 hours before the first event day. Please see the Donations page for XP or Chits.
Beds may be reserved through the bed reservation sheet. All players must register for a bed through this sheet, and can only reserve a bed once that player has paid for a ticket. Please see the Event Registration page for the bed reservation sheet.
Special accommodations will be made available to those who have medical needs in regards to their sleeping arrangements. This designated sleeping area will be reserved only for those with such needs. Beds in this area are be limited. To reserve beds for this purpose, please email Logistics Team as soon as your ticket is purchased.
We will only be accepting changes to and creation of Character Sheets through email. No edits to or creation of Character Sheets will be done at Check-In. To do this, please reach out to logistics@cotvlarp.com. All changes and character sheet submissions must be received 48 hours before game.
