Call of the Void is a private club that reserves the right to refuse any person the right to participate in our spaces - including our Facebook page, our Discord server, and our hosted events and games. A member may have their right to participate revoked if they are believed to be a threat to themselves, others, or the game’s community, or if their continued membership would cause harm to themselves/other members/the community. These determinations will be made in good faith, and with consideration of this private club’s goal of promoting safe space for members.
If any member of the community (staff or player) has witnessed another member of the community engage in behavior that is against the rules, policies, or Code of Conduct of this game, we ask that a report be filed. Anyone - witness, friend, or target - can file a report. This includes filing a report on behalf of someone else, as long as that person is okay with being spoken with by staff about the situation leading to the report.
Reportable behavior can be online or in-person, and is not limited to behavior in game spaces or game-related web spaces. It covers anything that a community member is doing to other community members.
Behavior that should lead to a report includes, but is not limited to:
Any behavior that falls under our Harassment Policy
Behavior that actively undermines the safety of the game community, including physical, mental, and emotional
Violations of the game’s rules, policies, or Code of Conduct
Utilizing out-of-game knowledge to undermine the game’s story and/or player enjoyment (negative metagaming)
Violations of federal, state, or local laws
Violations of site policies
Theft (including of any non-tagged item or the theft of a tagged item without the intention of returning the prop to its owner)
We strongly suggest that community members utilize our new Report Form in order to file a report. This form will be seen only by Game Runners at the beginning, but may be shown, with permission, to other members of staff if needed (such as Rules Team if it is a rules violation). However, any member of staff can be reported to and can assist with filing a report. If the report directly involves a member of staff, please report it directly to the Game Runners. If the report regards a Game Runner, then please report to a staff lead.
If the report is first given in person, please always follow up with a filing of a report form. If a report form cannot be completed, send an email to Game Runners (or a trusted staff member) with as much detail and evidence as possible. Please note that reports may not be followed up on unless a report form is submitted or an email is sent. A report given in person is not considered a filed report. Keeping a written record of this behavior is of the utmost importance.
When a report is given, it is important that as much information as possible be shared. A report should always include:
a time and date
a complete and detailed recollection of what occurred
the names of those involved
the names of any witnesses
If there is other evidence such as screen shots, please email that evidence to Game Runners or the staff member you are working with.
If you have submitted a report and have not heard from Game Runners within 5 days, please email gamerunners@cotvlarp.com to follow up.
Please note for reports given in person at Call of the Void events: if the behavior has happened or is happening at that event, the named source(s) of that behavior may be asked to leave the event in accordance with our Code of Conduct.
A report will always be followed by an investigation. A staff member or staff members will serve as the investigator(s). The staff member investigating the case is required to be reasonably free of direct bias regarding the subject of the investigation. In most cases, the investigator(s) will be the Game Runner(s). If the report regards a Game Runner, then a staff lead will select a staff member to investigate.
Investigations will include communication between the named investigator and the individual(s) who filed the report, any witnesses, the person being investigated, and may or may not include seeking further information from members of the community, if appropriate to do so. If any of these people are unable to make themselves available for contact in a timely manner with the investigator, the investigation may stall. The investigator may discuss the case internally with other members of staff, but every effort will be made to ensure that the identities of those involved and details of the investigation are kept reasonably confidential.
Investigations will be resolved within 45-60 days unless extenuating circumstances prevent a resolution. However, staff will do their best to find a resolution before the next event and find a temporary solution if necessary, which may include a suspension.
Once an investigation is concluded, a written summary of the investigation will be created by the investigator. The Game Runners will then make a decision on what would be the best resolution of the conflict, which may include gathering opinions from other members of staff and/or the wronged party. In the event that a Game Runner is involved or is the subject of the report, the investigator may select a group of staff to make the decision instead.
If the investigator determines that the behavior has violated any item(s) in the above Reporting Policy, staff will then decide, given the severity of the behavior, whether the offending member is deserving of:
A private reprimand and warning with further action based upon discussion with and consideration of what the filer(s) of the report request;
A removal from any volunteer or staff positions (if a volunteer or staff member);
A more serious action or punishment, such as a suspension from CotV events;
A ban from all future games and all community spaces
The scale of any punishment levied will seek to be commensurate to the level of harm the offending activity or behavior had on any victims and upon the community at large. Repeat offenses will be taken into account and will increase the severity of penalties appropriately.
Call of the Void reserves the right to require players who have been temporarily suspended from game play to show proof of betterment, such as attendance to anger management classes, counseling with a certified mental health professional, sexual harassment training, or equivalent outside mental health or behavioral resources before being allowed to return to active play.
In the event that a staff member is the subject of an investigation, they may be suspended from staff duties until the investigation is concluded.
Investigation details shall not be made public without the express permission of all affected persons. However, general information about investigations, once concluded, may be shared, by Game Runners only, if deemed necessary, primarily to convey details of the circumstance to other local LARP organizations/clubs or for the betterment of the Call of the Void community. This will be for only the rarest and most extreme of circumstances.
If the subject of an investigation believes their judgment or penalty to be unfair, they may appeal. This appeal can be requested by reaching out to Game Runners. This must be done via email. The individual(s) making the appeal must state their case and include any relevant evidence if it did not come up previously in the investigation.
Appeals may not be submitted sooner than two weeks from the date of the investigation’s conclusion to allow time for all parties to process events without further stressors.
The Game Runners will evaluate the appeal request, and, if they agree that the prior investigation and conclusion should be reevaluated, will be responsible for reopening the investigation and/or delegating the follow up investigation to a staff member. If a follow-up investigation is performed, the results of the second investigation could supersede, replace, or amplify the results of the first. An appeal may or may not be granted based on the severity of the behavior in the report.
There may only be one appeal per report. The finding of an appeal is final and cannot be further appealed.
Appeal details shall not be made public without the express permission of all affected persons. However, general information about appeals, once its secondary investigation is concluded, may be shared, by Game Runners only, if deemed necessary, primarily to convey details of the circumstance to other local LARP organizations/clubs or for the betterment of the Call of the Void community. This will be for only the rarest and most extreme of circumstances.
Removal of a member from Call of the Void is handled by staff and done through a voting process. Any staff member may call for a ban vote after a judgment has been entered on the conclusion of an investigation and/or its subsequent appeal. In the event of a ban vote being called, the details of any investigation(s) and/or appeal(s) will be made known to members of staff. Members of staff are expected to keep these details confidential.
If a staff member is the subject of the report(s), investigation(s), and appeal(s) or has a known conflict of interest with circumstances or individuals involved in the ban consideration, they are expected to recuse themselves from any voting. Further, all staff members are obligated to disclose any conflicts of interest and are subject to penalty, including removal from staff, if they fail to make such a disclosure. It is expected that staff members act within the best interests of the community.
Once decided upon by staff, a ban will be announced to the member being banned as well as the Call of the Void community and the local LARP community.
In rare cases, a member that has been banned through the Call of the Void investigation process may have their membership reinstated. If a removed member requests this, staff will again vote on the member's presence in the game community. The removed member must have at least three sponsors within the community willing to vouch for their corrected behavior in order for staff to consider a vote. During this process, all current staff will be made aware of all previous reports and investigations and the full circumstances of that person’s removal. This vote will be held in consideration of the safety of the community and those affected by the previously banned member’s behavior. If after the vote, the majority of staff agrees to reinstate said membership, the member and the community will be notified. When a staff member votes, they certify that they have thoroughly reviewed and investigated all relevant information, and that their vote is being made with the safety and security of the community in mind.
Call of the Void maintains a pre-ban list of individuals who are not welcome in our community due to past behavior in other communities or towards members of the community. These are individuals who have never attended a Call of the Void event but whose behavior has been deemed too reckless, problematic, unsafe, or otherwise unsuitable for CotV.
The pre-ban list is compiled based on information shared from staff at other games, runners of other LARPs, witnesses of past problematic behaviors, or concerned members of the CotV community. The information has been deemed sufficient evidence to support pre-ban. All names added to the pre-ban list have been approved by either unanimous or majority vote by staff members at the time of adding.
As this pre-ban list of individuals have not been banned through the Call of the Void investigation process, they will not be allowed to appeal their ban. However, those with names on the pre-ban list are allowed to reach out to Game Runners with questions regarding their status on the pre-ban list.
Community members who are not staff do not have access to the ban list, but may reach out to the Game Runners to request if an individual’s name is on the list. Game Runners may choose not to share details as to why an individual’s name is on the pre-ban list.
